Bowls North Harbour (“we”, “us”, “our”) is the regional body for bowls across Auckland’s North Shore. We respect your privacy and handle personal information in accordance with the Privacy Act 2020 and its thirteen Information Privacy Principles.
This policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have over it. It covers our website at bowlsnorthharbour.co.nz and the information we hold as part of running competitions, representative programmes, and centre administration.

Our Centre Manager is our contact point for all privacy matters.
What information we collect
The information we collect depends on how you interact with us.
When you contact us — your name, email address, and whatever you choose to put in your message.
When you enter a competition or event — the names of all players in your team, gender, BowlsHub ID, club affiliation, contact email, phone number, and a billing address for the entry invoice. For age-graded events such as the NZ Masters we also collect date of birth, playing grade, and the number of years you have been bowling.
When you put yourself forward for a representative team, or for a selector or coaching role — your BowlsHub number, name, email, mobile number, club, gender, playing history, preferred playing position, and any coaching or selection experience you tell us about.
When you subscribe to our newsletter — your first and last name, email address, the club you belong to and any other information you provide.
When you use our website — our web server records standard technical information including your IP address, browser type, the pages you visit, and the date and time of your visit. This is ordinary server logging, used to keep the site running and secure.
We do not ask for information we do not need. Where a field on one of our forms is required, it is because we cannot process your entry or request without it.
Why we collect it and how we use it
We use personal information to:
- process and administer competition and event entries, including draws, section allocations, and invoicing
- publish draws, results, and prizewinners
- select, manage, and communicate with representative teams and squads
- administer coaching, umpiring, and officiating accreditation
- respond to enquiries you send us
- send you our newsletter and notices about events, cancellations, and centre business, where you have asked to receive them
- maintain historical records — honours boards, past champions, life members, and the history of the centre
- meet our obligations to Bowls New Zealand and to our affiliated clubs
If you would prefer your photograph was not published, or you have a particular reason for not wanting your name to appear, please tell us and we will do our best to accommodate you. We cannot always remove names from results and honours records, because those are the historical record of the sport, but we will talk it through with you.
Our newsletter and other electronic messages
We send our newsletter using Mailchimp, a service operated by Intuit Inc. in the United States. When you subscribe, the details you give us are stored on Mailchimp’s servers.
Every newsletter includes an unsubscribe link, and you can unsubscribe at any time — either through that link or by emailing us. We comply with the Unsolicited Electronic Messages Act 2007.
Who we share your information with
We do not sell personal information, and we do not give it to anyone for their own marketing purposes.
We share information only where it is necessary to run the sport:
- Your club and other affiliated clubs — for entries, draws, and team administration
- Bowls New Zealand and BowlsHub — as the national body and its membership system, for national events, accreditation, and membership records
- Opposing teams, umpires, and event organisers — names and clubs, as needed to run a competition
- Our service providers — our website host, our email provider, and Mailchimp, who handle information on our behalf and are required to keep it secure
- Where the law requires it — or where disclosure is necessary to prevent a serious threat to someone’s health or safety
Information sent overseas
Some of the services we use store or receive information outside New Zealand:
- Mailchimp (United States) — newsletter subscriber details
- Google Fonts (United States) — our website loads its typefaces from Google’s servers, which means your IP address is visible to Google when a page loads
- Meta / Facebook (United States) — our home page embeds our Facebook page feed. Facebook may set cookies and receive information about your visit through that embed, whether or not you have a Facebook account
Before disclosing personal information overseas we take reasonable steps to satisfy ourselves that it will be protected by comparable safeguards, as Information Privacy Principle 12 requires.
Cookies
Our website uses cookies — small files stored by your browser. We use them to keep the site working properly and to remember your preferences. The embedded Facebook feed on our home page sets its own cookies, which we do not control.
You can block or delete cookies through your browser settings. Some parts of the site may not work correctly if you do.
How we store and protect your information
Personal information is held on our website’s servers, in our email system, and in the administrative records kept by our Centre Manager and board. We take reasonable steps to protect it against loss, misuse, and unauthorised access or disclosure, including access controls and a secure connection to our website.
We keep personal information only as long as we need it for the purpose it was collected for, with one exception: competition results and historical honours records are kept permanently, as the record of the sport.
Your right to see and correct your information
Under the Privacy Act 2020 you have the right to ask us:
- whether we hold personal information about you
- to give you access to that information
- to correct it if it is wrong
Email us at bowls@bowlsnorthharbour.co.nz and we will respond as soon as we can, and within 20 working days as the Act requires. We may need to confirm your identity before releasing information.
If we decide not to correct something, you can ask us to attach a statement of the correction you sought, and we will attach it to the information we hold.
Privacy breaches
If something goes wrong and personal information is lost, or disclosed when it should not have been, we will assess whether the breach is likely to cause serious harm. If it is, we will notify the people affected and the Office of the Privacy Commissioner, as the Privacy Act 2020 requires.
